This article provides the step-by-step instructions for Super Administrators and Panel Administrators to update the Vendor Admin (primary contact) for a supplier profile on an Enterprise Supplier List. This task is necessary when the current primary contact changes and helps ensure list accuracy for Buyers.
Prerequisites
You must have one of the following roles:
Steps to Update the Vendor Admin
Follow these steps to change the primary contact for a supplier on a list:
Navigate to the Admin Tools menu and select Enterprise Supplier Lists.
Click the number in the Suppliers column next to the relevant list to view all registered suppliers.
Find the supplier in the list, click the blue arrow (right side) next to the supplier's name, and select Administrator.
If the new Vendor Admin is an existing colleague (same ABN and location), select them from the Pick from existing compatible users list.
If the new Vendor Admin is not listed as a compatible user and does not have an account, click the Invite a new person to take over this role button to send an invitation.
Results / Validation
After completing the steps, the selected account will be designated as the new Vendor Admin (primary contact) for the supplier on that list.
Limits & Notes
When updating the Vendor Admin, the new account may need to re-provide compliance, qualification, and rate card details. This information is stored within the previous Vendor Admin's account and cannot be transferred to the new account.
Suppliers cannot update their own Vendor Admin account. This can only be done by an Admin of the organisation that manages the Supplier List.
-
Before updating, check if the new Vendor Admin is already managing a profile on the same supplier list for a different business entity.
Accounts can only hold one unique profile on a supplier list.
If you assign the Vendor Admin role to an account that is already managing another profile on the list, those two supplier profiles will be merged together.
Troubleshooting
User not appearing in compatible list: The user may not appear due to an account details mismatch (e.g., ABN or location). In some cases, despite a match, they might operate under different business names or be part of other supplier lists. You must use the Invite a new person option in this scenario.
