Post-Close Communication - Contacting Suppliers after a Request has Closed

When Post-Close Communication is active for your enterprise, you can send private messages, including attachments, to Suppliers who have responded to a closed Request. This feature allows both you and the Suppliers to continue communicating after the official closing date, enhancing clarity and follow-up during the evaluation process.

Prerequisites

  • Post-Close Communication must be activated for your enterprise.
  • You must be viewing unlocked Supplier responses.

Steps

Send a Bulk Message to Multiple Suppliers

Use this method to send the same message to multiple or all Suppliers privately.

  1. Click the + Message to suppliers button above the responses.

  2. Add a subject line and your message into the fields provided.

  3. Click Next to select the Suppliers you want to message.
  4. Click the mceclip0.png next to an individual Supplier, or click the mceclip1.png to add all Suppliers. The selected Suppliers will move from the Not Invited side to the Invited side.

  5. To include an attachment, click the Add button below the Attachments section at the bottom.

  6. Click Post now to send the message (this button appears once Suppliers are added) or Save as draft to save it for later.

Message an Individual Supplier

Use this method to start a conversation with a single Supplier.

  1. Click the + message button next to the relevant Supplier's response.

  2. Add a subject line and your message into the fields provided.
  3. Click Next.
  4. To include an attachment, click the Add button below the Attachments section at the bottom.
  5. Click Post now to send the message or Save as draft to save it for later.

View Messages and Read Replies

When a Supplier replies, you will get an email notification and an Unread notification link on your dashboard.

  1. Click the Unread notification link below the Messaging heading on your dashboard.

  2. Click the green people icon next to the Request/Tender you want to view messages for.

  3. Click the 'x' Topic(s) button at the top to view all messages and replies.

    • Alternatively, you can click the 'x' Topics button near the top of the responses screen, then click the name of the topic, and then View next to the message conversation.
  4. Click the subject name of the message and then View to see the conversation.
  5. To send a reply, click the Add Reply button above the messages.
    • To view or download attachments from the Supplier's reply, click the 'x' files button to the right of their message, then click the file name.

Only Send a Document to a Supplier

You can attach documents directly to a response to make it accessible to the Supplier without sending a full message.

  1. While viewing the responses, click the Add documents button next to the 'select/decline' links.

  2. Click the Click to select... button and attach a document from your computer.

  3. After upload, check the box under the Supplier can access heading.

  4. The Supplier will receive an email advising them of the document, and they can log in to download it.
