Post-Close Communication for Suppliers

After a Request or Tender has closed, Buyers can send messages to Suppliers to request additional information or documents. This article outlines the process a Supplier follows to view and respond to these messages, allowing Buyers to anticipate and support the Supplier's experience.

Key Ideas

This section describes the Supplier's experience when receiving post-close communications from a Buyer:

  • Notification and Access

    • When a Supplier receives a post-close message, they are sent an email notification with a direct link to view the message in their account.
    • The message also appears under the Messaging heading on the left side of their home screen. They can click the Unread link to see their received messages.

  • Viewing the Message

    • The Supplier will see a list of their responses that have unread messages. They click on the # Message Topic(s) link next to the relevant response to proceed.

    • They must click the subject line of the message to view the full details, including the date and time it was sent.
    • If the Buyer included attachments, the Supplier can download them by clicking the attachment button on the far right.

  • Replying to the Buyer

    • To send a reply, the Supplier clicks the Add Reply button.
    • They type their response and click Next.

    • On the next page, they have the option to attach documents by clicking the Add button below the 'Attachments' heading.

    • Finally, the Supplier selects Post now to send the reply or Save as draft to continue later.
  • Response Limitations

    • Once a reply is posted, the Supplier cannot edit it or send another message. They must wait for the Buyer to send them a new message.
