To match your organisation's terminology, rename default roles by entering a Custom Display Name. Use this when your teams call a role something other than Contract Manager, Contract Owner, Contract Sponsor, Procurement Officer or Procurement Manager.
Prerequisites
- You are an admin.
- You know which default role you want to rename. See the list under Limits and notes.
Steps
- Open the Contracts or Procurement module.
- Go to Manage module ▸ Lists ▸ Roles. The list of roles opens.
- Click the default role you want to rename. The Role page opens.
- In Custom Display Name, type the name your users should see. This name is shown to users instead of the role name.
- Click Apply. The role now uses your custom name.
The Role Name field is locked. Do not try to edit it. Use Custom Display Name instead.
Results
Your custom name appears in place of the default role name for your users.
Troubleshooting
- The Role Name field is greyed out. This is expected for a system-defined role. Enter your name in Custom Display Name instead.
- Some settings on the role are locked. System-defined roles lock some settings. You can still set a Custom Display Name.
- I want the original name back. Clear Custom Display Name and Apply. When the field is blank, the default role name is used.
Limits and notes
You can rename these default roles:
| Module | Default roles |
|---|---|
| Contracts | Contract Manager, Contract Owner, Contract Sponsor |
| Procurement | Procurement Officer, Procurement Manager |
- The underlying system names do not change. Reports, mail merge codes and reminder filters keep working.
- Custom names stay consistent between Procurement Planning and Contract Management.
