Configure Escalation Based on Individual Approval Limits

This article explains how the system automatically escalates approval requests to a supervisor if an assigned approver's financial limit does not cover the submission value. This ensures compliance with individual approval thresholds.

Prerequisites

  • You must have Admin permissions to manage approval settings.

  • The approval settings user-based approval thresholds and Include all escalations as separate approval steps must be configured correctly (see details in the Limits & Notes section below).

  • Individual user financial approval limits must be set in the system via Manage Users in the Control Panel.

How Escalation Works

When a submission (e.g., a purchase request) goes through the standard approval route, the system checks the assigned approver's financial limit against the submission value.

  • If the assigned approver has an adequate approval threshold, they approve the submission, and the process continues as defined by the approval route.

  • If the assigned approver's financial limit is less than the submission value, the system automatically escalates the request by adding the approver's supervisor to the approval list.

  • This escalation process continues up the supervisory chain until it reaches an individual whose financial approval limit is greater than or equal to the submission value.

Example: A purchase for 1 million dollars goes for approval, and the approval rules direct it to the Contract Owner.

  • If the Contract Owner is not authorised to approve a 1 million dollar purchase, the system automatically adds their supervisor to the approval list.

  • The system continues to escalate up the supervisors until it finds one with a financial approval limit that covers the $1 million value.

Steps to Manage User Approval Limits

Individual approval limits are managed through the Manage Users screen in the Control Panel.

  1. Navigate to the Control Panel.

  2. Select Security > Users and Groups.

  3. Search for and select Edit to the right of the user you need to update.

  4. Locate the field for Supervisor and Financial Approval Limit and enter the required value.

  5. Save your changes.

Results / Validation

To confirm the settings are in place, you can view the user details in the Manage Users screen in the Control Panel to verify the updated financial approval limit.

  • Escalation based on individual approval limits only occurs if the approval settings 'user-based approval thresholds' and 'Include all escalations as separate approval steps' are turned on in the manage module settings.

  • If the 'user-based approval thresholds' and 'Include all escalations as separate approval steps' module settings are turned off, the request will only go to the approvers listed on the approval route definition, without any individual limit-based escalation.

  • The user's supervisor must have an approval threshold that is adequate for the submission value to stop the escalation.
