External Approval

This article guides External Approvers through the process of approving or rejecting a request sent to their email. You will use a simplified interface to review and make a decision on the submission.

Prerequisites

  • You must be designated as an External user in the system's approval record.

  • The system must have your correct email address on file, as the approval request is sent via email.

Steps

The approval process begins when you receive an email notification.

  1. Open the Approval Request Email

    • Find the approval request email in your inbox.

    • The email will contain details about the submission and a link to the approval screen.

  2. Click the Approval Link

    • Click the link provided in the email. This will take you to a simplified approval screen in the system.

    • Note: External users cannot access the actual record in the system, only this simplified review screen.

  3. Review the Submission Details

    • Examine the information about the submission and the requested item.

  4. Make a Decision

    • Click either Approve or Reject to make your decision.

  5. Confirm Your Submission

    • After clicking Approve or Reject, a verification window will appear.

    • Confirm your decision in this window to submit your approval.

Results / Validation

Once your decision is submitted, the system will process the approval. The final decision is logged, and an email is sent back to the original Submitter notifying them of the outcome.

Troubleshooting

  • Missing email: Check your spam or junk folder. The approval request email is critical for this process.

  • Error on submission: Ensure you have clicked the final confirmation in the verification window.

Limits & Notes

  • External Approvers use a different interface than internal system users.

  • External users are not allowed to access the actual record in the system; they are only provided with the simplified review screen.

  • The outcome of the approval is handled identically to any other approval—the submission will either move to the next step or be finalised.
