Suppliers Adding and Removing Colleagues

This article outlines the step-by-step process a Vendor Admin follows to invite or remove a colleague from a Supplier List they manage. They use this process to grant another user access to respond to Requests/Tenders for a specific Supplier List registration.

Prerequisites

  • Role: Vendor Admin registered on the Supplier List.

Steps: 

Inviting or Removing a Colleague

The Vendor Admin follows these steps to manage colleagues on a Supplier List:

  1. The Vendor Admin navigates to the Admin Tools menu. This menu can be found in the top menubar or on the homepage on the left-side menu.
  2. They select either Supplier lists you manage or Edit supplier list colleagues.

  3. On the resulting page, they locate the desired list and click Manage under the Your Colleagues column.
    • This opens the Manage colleagues page for that list.

To Invite a New Colleague

  1. On the right side of the Manage colleagues page, the Vendor Admin fills out the new colleague's details.
  2. They click the Invite button.

To Remove an Existing Colleague

  1. On the left side of the Manage colleagues page, the Vendor Admin finds the list of people already registered as a Colleague.
  2. They click the remove button next to the name of the Colleague they wish to remove.

Adding an Existing Colleague to another List

If a Colleague has already accepted an invitation to register on one of the Vendor Admin's lists, the Vendor Admin can add them to another list without sending a new invite.

  1. The Vendor Admin navigates to the Manage colleagues page for the target list (refer to Steps 1-3 above).
  2. On the right side of the page, below the fields for inviting a new colleague, they find the list of Colleagues registered on their other lists.
  3. They click the add now button next to the relevant Colleague's name to add them to the current list.

Resending an Invitation

If a colleague invitation was lost or not received, the Vendor Admin can resend it.

  1. The Vendor Admin navigates to the Manage colleagues page for the list (refer to Steps 1-3 above).
  2. On the left pane of the page, they find the invitation under the Pending colleagues list.
  3. They click the un-invite button to revoke the lost invitation.
  4. They then send a fresh new invite using the fields on the right side of the page (refer to To Invite a New Colleague steps above).

Results / Validation

  • Invited Colleague: The colleague receives an invitation email containing a link to either set up their account or confirm registration if they already have one.
  • Request/Tender Invitations: Colleagues on the list also receive an invitation when the Vendor Admin is invited to a Request or Tender.
  • Shared Activity: Actions taken by any linked user (Vendor Admin or Colleague)—such as flagging intent to respond, creating a draft, or sending a response—will be listed in the other user's accounts to keep everyone informed.
