This article outlines how suppliers (specifically Vendor Admins and Colleagues) manage their notification settings for Marketplace and Public Tender requests. Understanding these settings can help buyers anticipate how their invitations are received and acted upon by potential suppliers.
Purpose
Intent: To understand the supplier's process for controlling which request notifications they receive and how this impacts the visibility of a buyer's request.
Audience: Buyer, Approver, Admin.
Supplier Notification Settings Overview
Suppliers manage their notification settings in Settings -> Options and Settings.
Marketplace Request Notifications
This setting applies to private requests where you, the Buyer, have selected a specific company profile to view and respond to a request.
| Supplier Setting | Buyer Impact | Limits & Notes |
|---|---|---|
|
Yes |
The supplier receives the initial email notification when the new Marketplace Request is sent. |
The request is visible to the supplier in their account. |
|
No
|
The supplier does not receive the initial email. |
You, the Buyer, will see a message against the supplier's profile stating "Supplier is not currently accepting requests". The request is immediately moved to the supplier's Archived Requests, but it is still open and can be reversed to respond to it. |
Reminder and Update Emails (for Marketplace Requests)
Suppliers can choose to receive reminder notifications (leading up to the closing date) and update/status notifications (e.g., if you change the request or answer a question publicly) for either All requests or only for requests they have read (previewed details or downloaded documents).
Default Behavior: By default, suppliers will only receive these reminder and update emails for a request if they have logged in and either previewed or downloaded the documents.
Public Tender Requests
This setting determines if a supplier wishes to receive the opportunity to respond to your public tenders from the Marketplace lists they're registered on.
| Supplier Setting | Buyer Impact |
|---|---|
|
Yes |
The supplier receives a daily Tender Digest email that lists all new opportunities matching their criteria. |
|
No |
The supplier will not have the option to view and respond to any Open Market Tenders within their account. |
The supplier can also choose how often they'd like to receive the Tender Digest email (e.g., Monday to Sunday).
Limits & Notes
User Specific: Changes are at an individual user level (e.g., a Vendor Admin's settings don't affect a Colleague's settings).
Timing: Changes only apply to Requests/Tenders received after the settings have been updated.
PSL Exclusion: Suppliers on Preferred Supplier Lists cannot manage their notifications and will receive all notifications by default.
