How Suppliers Respond to a Detailed Quote using QuoteBuilder

This article explains how a Supplier uses the Detailed pricing mode to build a line-by-line quote when responding to a Request or Tender.

Use the Detailed pricing mode when you need to provide a complete breakdown of costs for a product or service, or if the Request specifies that detailed pricing is mandatory.

Prerequisites

  • Must be a Supplier responding to a Request or Tender.

  • Must have reached the Pricing Mode step of the Response Wizard.

Steps

  • On the Pricing Mode step, select the Detailed mode option.

  • Click the Add to quote button to begin adding your first item.

  • Complete the following fields on the new page: 
         

    •  Product/Service: The name of the product or service you are offering.

    • Description: An optional description of the product/service.

    • Is this an ‘Option’ item only: Check or uncheck this box to designate the item as an 'option' only.

    • Single unit price in $AUD: The price of a single unit in Australian dollars, excluding tax.

    • Number of units quoted: The number of units being quoted.

    • Pre-discount total: Calculated as the unit price multiplied by the quantity.

    • Discount (optional) as %: The percentage value of the discount.

    • Post-discount total: Calculated by subtracting the discount percentage value from the pre-discount total.

    • Tax component: The tax value for the item. You can uncheck Tax applies to this item to exclude tax for the item.

    • Quoted total: This is calculated as you fill in the fields, factoring in the post-discount total, number of units, and taxation values.

  • Once the item is complete, click Save to return to the list of quoted items, or click Save & add new to save the current item and immediately start a new line item.

  • After saving, a table summarizing your quoted items will be presented.

    • You can click on the name of an item to expand the quote details for a detailed breakdown.

    • Within the expanded window, you can edit the item, delete the item, or add a new item to the quote. 6. Once you have reviewed all items, select whether your item prices are estimated or fixed using the option buttons.

  • Optionally, type out any assumptions or comments about the pricing in the text entry box provided.

  • Click the Save and Continue button to complete the pricing step and continue with your response.

Results / Validation

After clicking Save and Continue, you will proceed to the next step of the Response Wizard. You can confirm your quoted items by reviewing the summary table:

  • RC: If blank, the item did not come from a rate card.

  • D%: A green tag in this cell indicates that a discount has been applied to the item.

Troubleshooting

  • You can only use Detailed pricing mode: The Super Admin or Panel Administrator may have specified that Detailed pricing is mandatory. Also, if a list is used for the request, only the Detailed pricing mode is available.

  • I want to switch to Summary pricing mode: You can use the button in the top right corner of the screen. Warning: Switching to Summary pricing mode will cause you to lose any progress and saved items in the Detailed pricing mode. You will receive a warning message to confirm this change.

Limits & Notes

  • To avoid losing your progress, ensure you Save or Save & add new before navigating away or switching to Summary pricing mode.

  • The Tax component is included in the final Quoted total unless you explicitly uncheck the Tax applies to this item box.
