Create a Rate Card Template

This article shows Super Admins and Panel Administrators how to create a new Rate Card Template for your enterprise. 

Prerequisites

You must be a Super Admin or Panel Administrator to perform this task.

Steps

Follow these steps to create a new Rate Card Template. The process involves four main stages: Details & Approval, Headings, Rows, and Active Status.

Stage 1: Set details & approval options

  1. Navigate to Admin Tools in the top menubar or left-side menu and select Manage Rate Cards.
     

  2. Under Manage Rate Card Templates, click the + Add New button.

     

  3. Click the Get Started button to begin the template creation process.
     

  4. Enter a Template name and a Template description in the respective free text boxes.
     

  5. Select the radio button to specify if the Template is compatible with the QuoteBuilder.

    • Note: If you select Yes, the template must include at least one heading using the Money datatype. The QuoteBuilder lets a supplier provide line-by-line prices using the Rate Card information when responding to a request.

  6. Select the radio button to specify if supplier submissions require MANUAL approval.

     

  7. Click the Save and Continue button.

Stage 2: Define template headings

This stage sets up the headings (the X-Axis) that suppliers fill in, moving from left to right. You can add up to 20 headings.

  1. Click the blue Add new heading button.
     

  2. Provide the required heading information:

    • Heading name

    • Description (optional, but recommended)

    • DataType (select from the dropdown, e.g., Text, Numbers, Money)

    • Specify if the entry is optional or required using the radio buttons.

    • Check the checkbox to allow list admins to change the heading and description.

    • Check the checkbox to allow list Admins to remove the heading.
       

  3. Click the blue Save Heading button.
     

  4. Repeat steps 1-3 to create more headings (up to 20). 

  5. Review the List Administrator Options at the bottom of the page:

    • Check Allow re-order of headings? to let list admins change the display order.

    • Check Enable additional headings to be added? to let list admins add more headings.
       

  6. Click the blue Save and Continue button.

Stage 3: Define template rows

Rows are the 'line items' (up to 200) that suppliers fill in. These can be pre-defined with a label or left blank for the supplier to define.

  1. Add a row heading if you want to provide context for the rows.
     

  2. Add individual rows as required.

     

  3. Select the checkbox to allow Panel Admins to add additional rows.
     

  4. Click the blue Save and Continue button.

Stage 4: Set active status

  1. Click on the blue Complete this template button.

  2. Click the green Active option to set the template as live.
     

  3. Click the blue Save Status button to finalise. 

Results / Validation

Your newly created Rate Card Template is now active and can be used when adding a rate card to a supplier list.

Troubleshooting

  • Template not usable in QuoteBuilder: If you enabled QuoteBuilder compatibility, ensure your template includes at least one heading with the Money datatype.

  • Cannot find the template in a supplier list: Ensure you have completed the final stage and set the template to Active status.
