Configure Acknowledgment Questions or Statements for Requests

This guide explains how Super Admins can set up mandatory questions or acknowledgments that Suppliers must view or respond to before accessing a Request or submitting a response. This feature is often used to include terms and conditions, like protecting the confidentiality of the Request.

Prerequisites

  • Audience/Role: Super Admin.

  • Action: Contact your Customer Support Manager or Support to have this functionality activated.

Steps: Configure the Statement or Question

  1. Navigate to Admin Tools. This can be found in the top menubar or the homepage on the left-side menu.

  2. Select Supplier Statements or questions.

  3. Click the blue Create new statement or question button.

  4. Configure the following fields/options:

    • Where will this statement or question appear? Choose either Before the supplier can access the request or Before the supplier can respond to the request.

    • Statement or question heading: Enter a heading. This will be visible to Suppliers above the acknowledgment and on the Response download PDF file.

    • Statement or question text: Add additional instructional text for the Supplier, such as an excerpt from a policy document.

    • What format do you expect Suppliers to answer the question in? Select one of the following options:

      • Statement only: Suppliers only view and acknowledge the statement.

      • Yes/No: Suppliers answer with YES or NO. Selecting this opens further options:

        • Does this statement or question require an acknowledgment or answer? Select Yes. Suppliers answer this question (required) or No. This question is optional.

        • What are the acceptable answers to this question? Select Yes or No (either is acceptable), Yes (must choose yes), or No (must choose no).

      • Checkbox: Suppliers answer by ticking or leaving a checkbox unticked.

    • Publish settings: Toggle the switch to the right (blue coloring) to publish the statement or question. This applies it to all Local Groups and Buyers (and their requests) within the enterprise.

  5. Click Save. You will be redirected to the Supplier statements or questions page.

Results / Validation

On the Supplier statements or questions page, you can confirm the configuration using the list of created statements. Look at the headings to the right of the title:

  • Status will show Published.

  • Placement will show Access (before Request access) or Submit (before response submission).

  • Actions includes an edit link to modify the statement.

Limits & Notes (Supplier View)

  • Access Acknowledgments are displayed if a Supplier attempts to: View RFx details, Request more information, View attached documents, Download the ZIP request, or Create a response.

    • If accepted, the acknowledgment displays once per Request (unless the Supplier clicks Cancel, in which case it reappears upon the next interaction).

    • Suppliers can Decline to respond without viewing or responding to the statement.

  • Response Acknowledgments are displayed on the last step of the Response Wizard.
