Reviewing Supplier Compliance Submissions & Statuses

As a Super Admin or Panel Administrator, you can review, approve, or decline suppliers' submitted compliance documents using the Compliances Dashboard.

Prerequisites

  • Audience: Super Admin or Panel Administrator.

  • The supplier must have already submitted their compliance requirements.

Steps to Review and Decide on Submissions

The Super Admin and Panel Administrators use the Compliances Dashboard to review submissions and approve or decline them.

  1. Navigate to the Compliances Dashboard. You can get there in one of two ways:

    • Click the Verify suppliers compliance details link under the Critical Tasks heading on your home page.

    • Or, hover over Admin Tools in the menubar and select Supplier Compliance Details.

  2. On the left side of the dashboard, you can filter the lists by selecting Lists with compliances to approve.

  3. On the next page, locate the Supplier list you wish to review. Where there are pending compliance submissions, you will see a green numbered bubble under the Pending Approval column.

  4. Click the green numbered bubble to view the pending compliance submissions.

  5. Against each compliance submission (e.g., Public Liability Insurance), click the green verify icon to review the supplier's details for that specific compliance requirement.

  6. In the pop-up window, review the details provided by the supplier:

    • Top of pop-up: The compliance requirement, supplier's business name, Preferred Supplier list, and any comments.

    • Left side: Information such as Issued by, Policy/Doc #, Coverage Value $, Expiry Date, Additional Comments, and the Attached Document (click the blue hyperlink to access).

    • Notes: - If the submission was previously declined, any Previous Declined Comments will appear here.
      - Some compliance documents do not have an expiry date. In these cases, when you review the document details, the Expiry Date field will display Not applicable.

  7. To Approve: If the compliance details meet your requirements, click the green Confirm button.

    • Result: Suppliers are not notified when their submission is approved.

  8. To Decline: Click the red Decline button.

  9. If declining, a pop-up box will appear asking to confirm. Click OK to proceed with the decline.

  10. You will be prompted to provide feedback to the supplier. Type your response in the free text field and click the Save and continue button.

    • Result: This declines the compliance and triggers an email notification to the supplier with the decline comments.

Results / Validation

  • Approved: The compliance item will no longer appear in the Pending Approval count for that supplier list.

  • Declined: The supplier receives an email notification with the feedback provided.

Limits & Notes

  • Supplier Compliance Status Report: Super Admins and Panel Administrators can download this CSV report from the View Reports section under Admin Tools. The report lists all registered suppliers, their compliance status (provided/not provided), and approval/decline details (date, by whom, and expiration date).

  • Viewing Compliance Info on a Supplier's Profile: All users (administrators, managers, buyers) with access to a supplier list can view a supplier's approved compliance details and download the document (via the View button) on the supplier's profile when:

    • Selecting suppliers on a request.

    • Viewing registered suppliers on a list.

    • Browsing suppliers by categories.

    • Searching for a supplier.

  • Historical Submissions: Historical compliance certificates are only retained if the supplier responded to a Request. When a Request closes, the approved compliance items submitted with that response are locked to provide the Buyer with a permanent record.
