Inviting New Buyers

This article explains the two methods you can use to allow staff members to register as a Buyer: sending a direct invitation or providing a self-registration link. Use this process when you need to onboard new Buyers.

Prerequisites

Invitation Type

Direct Invitations

The Super Admin, Local Group Admin, and Local Group Manager roles can invite Buyers directly. Invitation-only registration gives your organization full control over who registers. The Admin/Manager who sends the invite is automatically set as the Buyer's Manager.

  1. Navigate to the invitation tool:
    • Super Admin or Local Group Admin: Select Local Groups and Users under the Admin Tools menu.
    • Local Group Managers: Select Manage Buyers under the Admin Tools menu.
  2. Click the three vertical dots to the right of the relevant local group.
  3. Select Invite New Buyers from the pop-up box.
  4. Enter the Buyer's name and email address. You can send up to 50 invitations at once by increasing the available fields using the options at the top of the page.

  5. Click the Validate list button to confirm the email addresses are valid.

  6. Once the emails are validated, click the ALL OK - SEND INVITATIONS? button to send the invites.

Self-Registration Link

Self-registration allows staff members to register themselves without having to contact an Admin/Manager for an invitation.

  1. Navigate to the links tool: Select Local Groups and Users under the Admin Tools menu.
  2. On the left-side menu, select Get buyer links.

  3. Select the local groups you need links for and the link format on the left side of the page.
  4. Click the Get links button. The Buyer self-registration links will appear on the right side of the page.

Resend an Invitation

Use this option when a buyer has not received or acted on their original invitation.

Steps

  1. Navigate to the invitations tool:
    • Super Admin or Local Group Admin: Go to Admin Tools ▸ Local Groups and Users.
    • Local Group Manager: Go to Admin Tools ▸ Manage Buyers.
  2. Click the bubbled number under the Invited column.
  3. Locate the invited user you want to resend the invitation to.
  4. Click the blue arrow next to their name.
  5. Select Resend this invitation.
  6. A new email notification is sent to the user, and a new attempt appears in the Resent column.

Delete an Invitation

Use this when an invitation was sent in error or the user should no longer receive access.

Steps

  1. Navigate to the invitations tool:
    • Super Admin or Local Group Admin: Go to Admin Tools ▸ Local Groups and Users.
    • Local Group Manager: Go to Admin Tools ▸ Manage Buyers.
  2. Click the bubbled number under the Invited column.
  3. Locate the invitation you want to delete.
  4. Click the blue arrow next to the user’s name.
  5. Select Delete this invitation.
  6. The invitation is removed, and the previously sent link can no longer be used.

Results / Validation

  • Direct Invitations: Invited Buyers will receive an invitation email with a link to set up their account.
  • Self-Registration Link: You can email the generated links to your staff or place them on a website for access.
  • The user appears under Invited after you send the initial invitation. 
  • Resending an invitation increments the Resent counter. 
  • A deleted invitation is removed from the Invited list.

Troubleshooting

  • The user didn’t receive the email: Ask them to check spam/junk folders or confirm their organisation’s email filtering.
  • Email address is incorrect: Delete the invitation and create a new one with the correct email.
  • Buyer says the link doesn’t work: The invitation may have been deleted or expired — send a new one.

  • Buyers can only register under one local group.
  • The self-registration process can be configured to use monitoring and approval functionality.
  • Deleting an invitation renders the previously sent link unusable.
