Policy Guide Functionality Overview

The Policy Guide functionality allows users to build workflows using various Nodes and Connectors to guide staff to appropriate information or actions based on their responses. This feature is a paid addition, and its activation should be discussed with your Account Manager or Customer Success Manager.

Prerequisites

  • Policy Guide is paid functionality.

  • Contact your Account Manager (AM) or Customer Success Manager (CSM) for activation.

Key Ideas

Nodes Overview

Nodes are the building blocks of the Policy Guide functionality and are dragged and dropped onto the workflow editor canvas. Nodes are connected by clicking and dragging the base of one node to the top of another.

All nodes have three editable fields, accessed by double-clicking on the node.

  • Workflow node name: The name within your workflow (not visible to staff). Note: The name of a Start node cannot be changed.

  • Header and body fields: Used to add content for questions to be presented to staff.

Node Types

There are five main types of nodes used within the Policy Guide platform:

  • Start: Automatically added when a workflow is created; it's where your workflow begins.

  • Question: The main building block used to collect information and navigate staff based on their responses.

  • Complete: Creates an endpoint for your workflow and typically contains the final advice for staff.

  • Create Procurement Plan: Only displays if both Policy Guide and Procurement Planning are active. Similar to the Complete node, but surfaces a button that directs staff to the Procurement Planning functionality.

  • Create RFx: Similar to the Complete node, but will direct Buyers to VendorPanel - a Unimarket Company when reached.

Additional Node Elements: Connectors

Connectors are the lines between nodes that define the pathways between each question. They surface to the Buyer as multiple-choice options.

  • Each connector (excluding the one from the Start node) must have at least one answer to be valid.

  • Like nodes, connectors have three editable fields accessed by double-clicking.

    • Name: Visible only in the workflow editor for tracking content.

    • Answers: The responses staff can choose from. You can add additional answers by clicking Add new item.

    • Display order: If multiple connectors come from one node, you can edit this number to control the display order of the answers. A lower number means it displays higher up to the staff.
