Enable and Manage Individual & Local Group Request Templates

This article guides Super Admins and Local Group Administrators through enabling and managing Individual Request Templates and Local Group Request Templates within their managed Local Groups. Enabling Local Group Request Templates allows Local Group Administrators and Local Group Managers to create templates accessible to all Buyers/Managers in that Local Group. 

Prerequisites

  • You must have the Super Admin or Local Group Administrator role. 

Steps

1. Enable Individual & Local Group Request Templates

Follow these steps to turn on or off the Request Template functionalities for a specific Local Group:

  1. Select Local Groups and Users under the Admin Tools menu.

  2. Against the required Local Group, click on the three vertical dots and select Edit local group.

  3. By default, Request Template functionality and Individual Request Templates are turned on, and Local Group Templates are turned off. Click on the desired radio buttons to make changes to these settings.
     

  4. Once done, click on the blue Save button at the bottom of the page.
     

  5. Repeat the above steps for each required Local Group.

2. Create Local Group Templates

Local Group Templates are created similarly to Individual Request Templates (refer to the "Creating and Utilising Request Templates" article for full instructions). The key difference is selecting the library link type:

  1. When choosing the Library for your Request Template, click on the Local Group radio button, under the Link your new template to a library heading.

  2. Choose the Local Group that you wish to assign the Template to and either link to an existing template library or create a new library for your template. 

    • User Privileges:

      • If you are a Local Group Manager, you can only assign the template to your Local Group.

      • If you are a Local Group Administrator, you can assign the template to the Local Groups you manage.

      • If you are a Super Admin, you can assign the template to any Local Group where Local Group Templates are enabled.

    • Note: Local Group Templates must be turned on for the relevant Local Group to be eligible for assignment.

3. Copy Templates to other Local Groups

If you want to share an existing Individual or Local Group template with other Local Groups, use the copy function:

  1. Hover over My Requests in the menu bar and click on Manage your Request Templates.
     

  2. Navigate to the Template you would like to share and click on the share icon to the far right of the template.
     

  3. You will be directed to a new page displaying the Local Groups you can manage. Tick and untick the Local Groups as appropriate and click the blue Copy to selected groups button to share the template.
     

Limits & Notes

  • When a template is copied to other Local Groups, the original and copied templates are not linked.

  • Changes (modification or deletion) made to the original template will not be carried across to the copied templates.
