Results / Validation

  • For a select-supplier Request, the window lists each supplier with Notified, Date First Read and Supplier Responded.
  • For a Public Tender, the window shows a summary table and a supplier details table.
  • The CSV reflects the data at the time you downloaded it.

Reference: Statistics Fields

For a select-supplier Request, the window displays: Notified, Date First Read, and Supplier Responded.

Notified

This indicates if an email notification for the Request has been sent to the Supplier.

  • Yes: An email notification has been sent to the Supplier.

  • Pending: The notification email has not yet been sent to the Supplier.

    • There may be approximately a 40-minute delay between the Request being posted and the notification emails being sent. During this time, the field displays as 'Pending'.

    • If most Suppliers are notified but a few are 'Pending', it usually means those Suppliers were added after the Request was posted. To send the notification, edit the request, tick the Suppliers on the Select Suppliers tab, and save the changes.

    • This may also indicate the Supplier's email address is unverified on their account, and unverified emails do not receive notifications.

  • N/A: An email notification was not sent because the Supplier was logged in when the Request was posted and subsequently viewed the details or downloaded documents.

Date First Read

This is the time the Supplier first viewed the details of the Request or downloaded the Request documents.

  • Not Read: The Supplier has not viewed the Request details or downloaded the documents.

  • dd/mm/yy 00:00 am/pm: The time and date the Supplier or their colleagues first viewed the Request or downloaded attachments. Hover your mouse over the date/time value to see which Vendor Admin or Colleagues viewed the Request.

Supplier Responded

This shows the Supplier's response action.

  • None: There are no responses from the Vendor Admin or colleagues.

  • Responses Received: The Vendor Admin or Colleagues has submitted a response. Hover over the text to view which contact responded.

  • Declined to Respond: The Vendor Admin or Colleagues has declined to respond to the Request.

    • A reason for declining may be available if the Supplier included it.

    • An orange message means at least one person from the company advised they will not respond.

    • A red message means all staff or dealers representing the company have indicated they will not respond.

  • Responses in draft: The Vendor Admin or Colleagues has a response saved in draft.

  • Intends to respond: The Vendor Admin or Colleagues has flagged their intention to respond.

Public Tender Statistics

For a Public Tender, the Statistics for this request window shows two tables: a summary of activity across all suppliers, and a breakdown for each supplier.

Summary table

The summary table groups activity under Reads, Follows and Responses. It shows counts for Individuals (people) and Suppliers (businesses).

Group Column What it shows
Reads Notified of Tender How many individuals or suppliers were notified of the Tender.
Anonymous reads How many times someone not logged in viewed the Tender.
Registered reads How many logged-in individuals or suppliers viewed the Tender.
Follows Following Tender How many are following the Tender.
Intends to respond How many have flagged that they intend to respond.
Responses Draft Responses How many responses are saved in draft.
Posted Responses How many responses have been submitted.

Note: The Suppliers row shows N.A for Anonymous reads, Draft Responses and Posted Responses. These figures are only counted for individuals.

Supplier details table

Below the summary, each supplier is listed with their business name and ABN. For each supplier, the table shows:

  • Read: Whether the supplier has read the Tender.
  • Following: Whether the supplier is following the Tender.
  • Intends to respond: Whether the supplier has flagged their intention to respond.
  • Draft: The number of responses the supplier has saved in draft.
  • Posted: The number of responses the supplier has submitted.

Troubleshooting

  1. A supplier shows Pending under Notified. Notification emails can take about 40 minutes to send after posting. If only a few suppliers are pending, they were probably added after the request was posted. Edit the request, tick them on the Select Suppliers tab and save. An unverified supplier email address can also cause this.
  2. The Action reason column is blank for a supplier. The column only has a value if the supplier gave a reason. This applies only to Requests
  3. The numbers in the CSV differ from an earlier download. The CSV shows live data. Suppliers may have read, followed or responded since you last downloaded it.

Limits & notes

  • The CSV is a snapshot of live data at the time of download. Download it again for the latest figures.
  • The download is available for both Requests and Public Tenders, but the columns differ. See CSV export fields.
  • The Public Tender CSV shows counts for each business. It does not include individual names or email addresses, or decline details.
