Contract Management Role Definitions

This article explains the advanced contract roles available in the system and outlines what each role can access and perform during the contract lifecycle.

Contract Manager

The Contract Manager is responsible for creating, managing, and maintaining contracts throughout their lifecycle.

Key responsibilities:

  • Create new contracts
  • Manage and update contract details
  • Submit contracts for approval
  • Submit contract-related events such as:
    • Extensions
    • Variations

Access level:

  • Full access to all contract information
  • Full visibility across the entire contract record and lifecycle events

Contract Sponsor / Owner

The Contract Sponsor / Owner is typically a stakeholder responsible for oversight and accountability of the contract.

Key responsibilities:

  • Review and oversee contract progress and changes
  • Participate in contract approvals (where applicable)

Access level:

  • Same level of access as the Contract Manager
  • Full visibility of all contract information and lifecycle events

Access provisioning:

  • Access is granted by the Contract Manager

Custom Roles

Custom Contract Roles are structured roles that can be assigned to contracts in addition to the default system roles (Contract Manager, Contract Owner, Contract Sponsor).
 
Custom roles can be configured with read-only or edit access, depending on business needs.

Limits & Notes

  • Contract Manager, Contract Owner, and Contract Sponsor are single‑select roles (only one user can be assigned to each). 
  • Custom Contract Roles support multiple users being assigned to the same role. 
  • Custom roles do not replace default system roles; they extend access to additional users.
