Manage the Evaluation Library

Administer a library of pre-defined mandatory requirements and criteria to simplify evaluation setup. This centralised library allows Administrators to build fully formed criteria that can be easily imported into individual evaluations.

Prerequisites

  • Roles: Administrator permissions are required to view the library link by default.

  • Access: Navigate to the bottom of the Advanced Evaluations dashboard to the Documents and links section.

Create and Manage Individual Criteria Templates

Use this task to define specific scoring questions and response scales for the library.

  1. Click the link in the Documents and links section to access the Criteria Library.

  2. Select Evaluation Criteria from the toggle options at the top.

  3. Click the + (plus) button on the right of the top table to create a new item, or click an existing row to edit it.

  4. Enter a unique name (for Admin reference) and a displayed name (for user evaluation views).

  5. In the questions table, click + to create a new question.

  6. Enter the Question text and the Question weight.

    • Weighting: Determines how much the question contributes to the individual criteria score relative to other questions. The criteria this question is under will be worth a specific point value and percentage to the total criteria, and this weighting determines how much this question is worth to contribute to this individual criteria score.

    • A percentage will be automatically calculated taking into account all question weightings set for the criteria.
    • If all questions are equal, then each question should be worth one point, however, you can increase this for any question which has higher importance.

  7. Select a Response Type: Yes/No or Dropdown.

  8. Configure Responses:

    • For Dropdown, use the button below the list to select a pre-defined template: Agreement, Likelihood, Satisfaction, Frequency, Performance, Familiarity, Quality, or Importance.

    • Review the points allocated to each response on the right. The points for the responses will dictate how much of that point will be awarded based on the selection. For example, if the question is 1 point and a mid-scale response is worth 50% then the supplier would get 0.5 points for that question.

    • From here you can make any changes to the responses as you need to. You can change the wording of the responses, change the points allocation (which will automatically change the percentage) and keep adding new lines of responses to the question to build out your own scale.
    • If you're building your own scale you do not need to use one of the pre-defined response scales, but you can if you'd like to use it as a base to amend further. You can add new lines by hovering over the responses and using the table controls on the right.

  9. Click Save or Save and Close.

Validation: The new criteria will appear in the top table of the Library.

Create and Manage Criteria Sets

Bundle criteria together for specific purposes, such as "Construction purchases over $100K".

  1. In the Evaluation Criteria section, locate the bottom table and click +.

  2. Enter a name and click Confirm.

  3. Configure Criteria 1 (Price): This is mandatory. Here you can determine the points weighting you will give to Price when using this criteria set. The system will automatically give the respondents a score for their price, which essentially gives the lowest price the highest score and all others a score based on how their price compares to the lowest. You can set this to zero if you don't want Price to contribute to the total criteria score when using this evaluation set.

  4. Click Add from existing library to select individual templates or Create new criteria to build one from this screen.

  5. Set the points weighting for each criteria added.

  6. Set the status to Active at the top to make it available to users.

  7. Click Save or Save and Close.

Create and Manage Individual Requirement Templates

Mandatory requirements use "Pass/Fail" logic and do not carry point values.

  1. Toggle the library to Mandatory Requirements at the top.

  2. Click + in the top table to create a new item.

  3. Enter the unique name and displayed name.

  4. Click + in the questions table.

  5. Enter the Question text. Note: Responses are always Yes/No, so ensure questions are worded appropriately. There are also no points allocated to these questions and responses.

  6. Click Save and Close.

Create and Manage Requirement Sets

  1. In the Mandatory Requirements section, locate the bottom table and click +.

  2. Enter a name and click Confirm.

    Note: To edit an existing set, you must first set the status to inactive.

  3. Click Add from existing library and select templates from the dropdown.

  4. Set the status to Active and click Save and Close.

Troubleshooting

  • Cannot edit a set: Ensure the status is set to inactive before making changes.

  • Updated library info not showing: Criteria details are applied at the time of initial selection. Changing the library does not update existing evaluations

Limits & Notes

  • Updating: Changes to the library do not automatically update criteria already imported into active evaluations.

  • Price: Price is a mandatory item in every Evaluation Criteria set.
