Create and Manage Request Templates

Request Templates allow you to create and save a template for a Request that is used repeatedly, saving time and ensuring consistency. You can create templates from scratch or from an existing draft or posted request, including alternative response request(if enabled for your enterprise).

Prerequisites 

  • Permissions: You must have the Buyer role to save to your Private library. Super Admin, Local Group Administrators, and Local Group Managers can save templates to a Local Group library.

Steps 

Create a Template from Scratch

  1. Hover over My Requests in the menu bar and select Manage your Request Templates.
  2. Click the Add a new template button.

  3. Click the Create a template button on the right of the screen.
  4. Build the template using the Request Template Wizard. This process is similar to creating a standard request.

    Note: Some items in the Request Wizard are placeholders and will not be saved to your template. A blue message will advise you if a step will not be saved.

  5. On the Finish Template page, click the Save as Template button in the green box at the bottom of the page. The request will be listed as a draft under My Requests.

  6. Click the Pick library button to assign your template to a library.

  7. Select the desired library:
    • Buyers can only save to their Private library.
    • Administrators/Managers can select the library type (Private or Local Group). Selecting Local Group lets you choose an existing library for the Local Group you manage or create a new one.

  8. To select an existing library, click the chain icon next to it.

  9. If you need to create a new library:
    • Use the fields on the right to set a name, an optional description, and select the Active status. Click Save.
    • If you have existing libraries, use the Add new library button on the right.

  10. Review the Request template information:
    • Pick a template library: The library you selected previously will be listed here. Click Change if you need to select a different library. On the desired template library, click on the chain icon under Template library entries to link the library to the template. 
    • Name this template: Defaults to the name of the request set in the Request Wizard. You can change the template name by editing the text in the textbox. 
    • Enter a description: A description is optional but recommended. What do you want to include?: Choose what information to include in the template using the checkboxes. 
    • Alternative Response: If the request includes an Alternative Response, this field will appear. You can uncheck or modify the Alternative Response URL and description before saving. 
    • Active status: Ensure the Active checkbox is ticked to make the template active.

  11. Click the Save this template button at the bottom of the page to finalise.

Create a Template from an Existing Request

  1. Navigate to an existing Request or completed draft.
  2. Click the three vertical dots icon to the right of the request, and select Make template from this.
  3. Follow the steps above, starting from step 6.

    Note: If the source request includes an Alternative Response, the Make a Request Template and Modify Template screens will display the Alternative Response field automatically. You can uncheck or modify the Alternative Response URL and description before saving.

Utilise a Template to Create a Request

  1. Hover over My Requests and select Create request from Template.
    • Alternatively, click pick from template to the right of the My Requests heading on your dashboard.

  2. Your Private templates will be listed by default.
    • To access templates set up for your Local Group, select the Local Group option at the top of the page.

  3. Click the magnifying glass icon to preview the template. The preview will render any Alternative Response content where it has been set.
  4. Select the template you want to use by clicking on the template name (in blue).
  5. In the confirmation pop-up window, click OK to proceed.
  6. You will be taken to the Request Wizard, with included information pre-filled. If the template includes an Alternative Response, you can uncheck or modify the Alternative Response URL and description at this stage before saving.
  7. Complete the Request Wizard and post your Request.

Results / Validation

After saving a template, you can view and manage it by hovering over My Requests and selecting Manage your Request Templates

The Manage Request Templates table includes an Alternative Response column, which displays the Alternative Response option where one has been set on the template.

Managing & Editing Templates 

To manage templates, go to My Requests > Manage your Request Templates to view templates in your Private and Local Group libraries.

On the right of each template, you will see four icons:

Making Changes to Template Content

To make changes to the content of a template (e.g., adding an attachment, editing categories, or updating an Alternative Response):

  1. Use the existing template to Create a Request.
  2. Make the required changes within the Request Wizard.
  3. On the final step, select Save as a template.
  4. Assign the updated template to the required library.
  5. You can then delete the previous copy of the template.

Limits & Notes

  • All Templates must be organised into a Template library, whether individual (Private) or at a Local Group level.
  • The Alternative Response option is available in templates only if it is enabled at the enterprise level. Contact your admin if this needs to be enabled at the local group level.
  • If creating from a request without Alternative Response selected, the option won't appear — you'll need to create a new template from a request that includes it.
  • When using a template that includes an Alternative Response, you can uncheck or modify the Alternative Response URL and description before saving the resulting request.
