You can extend the closing date of an open Request or Tender, or reopen a closed one (as long as Supplier responses are still locked and the decision date hasn't passed). This allows you to provide Suppliers with more time to submit their responses.
Prerequisites
- Role: Buyer
- The Request/Tender is either Open or Closed.
- If the Request/Tender is closed, the Supplier responses must still be locked, and the decision date must not have lapsed.
Steps
- Click the three vertical dots (menu icon) to the right of the relevant Request or Tender, then select Edit this request from the pop-up box.
- Navigate to the Dates step:
- If the Request has already closed, you'll be taken directly to the Dates step.
- If the Request is still open, select the Dates step from the top menu.
- Adjust the closing date and/or time:
- Click on the closing date field and select a new date from the calendar.
- Change the close time if necessary.
- Click the Continue button. This will take you to the Save & Update step.
- (Optional) Notify Suppliers of the change:
- On the Save and Update step, add a comment in the Notify Suppliers of Changes textbox.
- Note: If you enter details here, an email will be sent to Suppliers, and the information will appear in the Updates section of the Request Details.
- If you leave this textbox empty, Suppliers will not be notified, and no details will be added to the Updates section.
- On the Save and Update step, add a comment in the Notify Suppliers of Changes textbox.
- Click the Save Changes button to apply your updates.
Results / Validation
The Request or Tender will now show the newly set closing date. If you added a comment, Suppliers will receive an email notification.
