Access and Filter the Email Outbox

Use the Email Outbox to view all system-triggered emails, including reminders and action-based notifications, and filter the report to find specific sent emails.

Prerequisites

You must have the correct user permissions to access the Control Panel.

Steps to Access the Email Outbox

  1. Access the Control Panel (gear icon) in the top right corner of the navigation bar. 

  2. In the sidebar, select Email.

  3. Select Outbox.

Steps to Filter the Outbox Report

You can filter the report using the column headings. Below are some common filters:

  • Emails triggered by a specific user: Use the filter Sender = 'username'.

  • Emails triggered for a specific record: Use the filters EFormType = 'target form' AND RecordID = 'target RecordID'.

  • Emails sent before or after a specific date: Filter by Date Sent or Date Queued.

Date QueuedThe date and time the email was triggered and queued to be sent.
Date SentThe date and time the email was sent to the recipient/s.
SenderThe user who triggered the sending of the notification.
Related EFormThe name of the eForm that the notification relates to/is sent from.
Related IDThe RecordID of the eForm that the notification relates to/is sent from.
Related EventThe ID# of a scheduled event that triggered this notification.
ToThe recipient/s email addresses of the email notification.
SubjectThe subject line of the email notification.
HoldUsed to hold the email in the system and prevent it from sending the notification.

Holding emails prevents them from being sent to the recipient after they have been triggered. This is often used when email settings were configured incorrectly, leading to a queue of unsent emails.

Steps to Hold Emails

  1. Select the email notifications you wish to hold.

  2. Click the Hold Selected Emails button.

  3. The final column, Hold, will change to 'True' and prevent the email from being sent.

Steps to Send Held Emails

  1. Select the held email notifications.

  2. Click the Send Selected Emails button to send the emails immediately.

Limits & Notes

If the system fails to send emails, it will automatically try to resend held emails periodically.
