Manage and Update Contracts with the Integrated Finance System

This article outlines two automated processes involved when managing contracts integrated with a customer finance system: validating contact details before creation and automatically updating the contract value for extensions and variations.

Prerequisites

  • The Contract Management system must be integrated with the customer finance system.

  • For contract value updates, a contract must already be created in both Contract Management and the finance system.

Validate Contact Details Before Creating the Contract

This process checks and verifies supplier and contract manager details in the finance system before the contract is created there.

  1. Create or Update a contract in the Contract Management system.

  2. The system automatically runs a validation check against the finance system for the entered contact details (e.g., Supplier and Contract Manager fields).

  3. If the details are successfully validated (found and verified), the contract can proceed.

  4. If validation fails (contact can't be found in the finance system), an error message will display.

  5. You must correct the details or ensure the contact exists in the finance system before the contract can be pushed through.

Auto-Update Contract Value for Extensions and Variations

This process ensures that any updates that change the total value of the contract in Contract Management are reflected on the contract in the finance system.

  1. In the Contract Management system, add an extension or variation to an existing contract.

  2. Ensure the addition/change impacts the total contract value.

  3. Save the updated contract in Contract Management.

  4. The system automatically links the update to the contract replica in the finance system, and the total contract value is updated automatically.

Results / Validation

  • For Validation: The contract can only be pushed through and created in the finance system once the contact details are successfully validated.

  • For Auto-Update: Check the contract record in the finance system to confirm that the total contract value has been updated to reflect the extension or variation made in Contract Management.

Limits & Notes

  • The auto-update functionality is specifically for changes that change the total value of the contract.
